Jumbo the Clothing Co., has an exciting opportunity for a Warehouse & Logistics Manager in East London (HO). We have one (1) vacancy to fill.

The purpose of this position is for the individual to successfully manage the entire Jumbo Warehouse as well as the Logistics for the company.

Key Accountabilities

Stock

  • Primary positon is to oversee and manage all operations and administration of the distribution warehouse inclusive of receiving, processing, dispatching and delivery of stock through to stores, therefore overage and shortages as well.
  • Will liase closely with other departments to ensure a maximum flow of stock through the Warehouse.
  • Will ensure that all packing, kimbelling and pricing requirements are followed correctly.
  • Analyse data to monitor performance and plan improvements and demand.

Controllable Expenses

  • It is solely the responsibility of the Manager to control his controllable expenses, as this directly affects the profitability of the Warehouse. This includes staff, packing and wrapping, teas and cleaning, etc.
  • Identify and deliver operation cost reduction.
  • Manage performance of staff.

Security

  • Managing the security in all aspects of the business and ensuring that security procedures are strictly adhered to.

Staff

  • Management of staff including discipline as required.
  • Manage performance of Staff.
  • Payroll / leave – ensure payroll is sent to finance timeously.

Quality

  • Control the standard of administration and procedures in the production area and enforce the relevant disciplines to maintain these standards.
  • Mange the Quality Assurance and supplier charges reports

Housekeeping

  • Enforcing strict control over the cleanliness and tidiness of the production area at all times to maintain a high standard
  • To carry out any other reasonable duties as required by Management.
  • Develop and implement an integrated logistics strategy, monitoring the quality, quantity, cost and efficiency of the movement and warehousing of goods.
  • General assistance: other duties, eg. Making stickers, invoicing, etc.

Company Vehicles

  • Management of all company vehicles.

Health & Safety

  • Establish / Chair H&S Committee
  • Ensure work area complies with Occupational Health & Safety Act
  • Safety Rep & First Aider appointed and trained
  • Identify Risk Areas

Contracted Transporters

  • Negotiating the services of third party carriers
  • Monitoring Service of third party carriers.

Minimum requirements for the job:

  •   Matric Certificate.
  •   Valid Driver’s Licence – Code 8 unendorsed
  •   5-8 years  experience in a Warehouse management and logistics environment
  •   Clothing and retail experience would be advantageous

The purpose of this position is to have a successful individual that will be responsible for managing an individual store through execution of the marketing and operations plans.  Who will co-ordinate specific marketing, administrative, logistics, HR, sales and operations sequences and attends to the general applications and interventions associated with the functionality within the store.

Key Accountabilities

Asset Management
  •   Responsible for the branch as a whole, ensuring that the outside of the store is kept neat and tidy and that inside fixtures and fittings are accounted for and maintained.
  •   Co-ordination of janitorial and repair services.
Stock Control
  •   Is responsible for all stock and will be held accountable for all overages and shortages.
  •   Prepare requisitions to replenish stock.
  •   Identify and report on slow selling items.
  •   Conduct a stock take
Merchandising
  •   Manage the quality and quantity aspects of the merchandise assortments.
  •   Co-ordinate the layout of shelves and merchandise of seasonal and sale displays.
  •   Identify new ways of promoting merchandise.
  •   Ensure required housekeeping standards at all times.
Marketing and Sales
  •   Manage the implementation of all marketing promotions to ensure maximum sales opportunities are exploited.
  •   Prepare and direct staff who are preparing merchandise displays.

  •   Stay up to date with current advertising trends.
  •   Provide sales leadership to staff.
  •   Stay current with products, marketing and pricing of area retailers with similar products.

Admin and Cash
  •   Ensure that the standard of administration and procedures in store are met.
  •   Ensure that the responsible persons are following proper procedures when handling all store cash. Check and verify these documents daily.
  •   Manage controllable expenses as this directly affects the profitability of the branch.
  •   Reporting to Area Manager
 Management of Staff
  •   Assign employees to specific duties, by way of their JD, To Do Lists, Plans and Goals..
  •   Encourage, assist and train employees to become a motivated sales force.
  •   Manage performance and development of staff.
  •   Ensure that all procedures and policies are being followed and enforce disciplinary action when necessary.
  •   Determine when extra temporary staff is needed and recruit same.
  •   Dealing with recruitment staff
  •   Attending & facilitating staff meetings
 Security / Risk 
  •   Manage the security in all aspects of the business and ensure that security procedures are strictly adhered to.
  • Monitor security staff and make sure that they are alert and performing their duties to the maximum.
  •   Ensuring that Health & Safety standards are met.
Customer Service
  •   Apply Customer Service principles in a friendly and enthusiastic manner on a daily basis.
  •   Train staff in customer service.
  •   Assist customers with enquiries and complaints.

The Admin controller will be responsible to perform clerical information processing tasks and activities associated with the update and maintenance of Store Operations records and registers. The Admin controller will also need to attend to general office applications with respect to the provision of routine procedural information.

Key Accountabilities

Cash

  •   Ensure that the banking is dealt with on a daily basis in conjunction with the Store Manager.
  •   Banking must be done first thing in the morning.  It must balance.  All the cash ups to balance with the banking.
  •   When the guards call to pick up the money, it must all be ready and make sure the Admin Controller, Manager and Guard sign for it.
  •   The drop safe must be locked at all times and the key must be kept by the Admin Controller.  Cash float must be checked and all spare keys for the floats must be kept at a safe place sealed in packets in the safe.  Cash floats must balance at all times and the Admin Controller must take full responsibility for the safe.
  •   When cash ups are done, the Admin Controller must make sure that the cashiers balance.  If a cashier does not balance, the Admin Controller must sort out the problem and ask for assistance if necessary.

Administration

  •   Control the standard of Administration and Procedures in the Store and enforce the relevant disciplines to maintain these standards.
  •   File the filing in the morning and make sure that all the filing procedures are done. All filing duties are:-Cash Control File, Petty Cash File, Stock Control File 1, Stock Control File 2, Personnel File & Internal Request file. Make sure all slips are signed with the necessary signature/s including over-rides, voids, and refunds, till open and so on.
  •   Ensure that reports are up to date.  To be addressed on a daily basis.  Start of Day Reports.
  •   Authorizing all transactions – 5A level.
  •   Lay-byes are the responsibility of the Admin Controller and the Cashiers.  These must be checked and spot checks must be done.
  •   Admin Controller to make sure all RTS is done on a regular basis.
  •   Spot checks on Cashiers to be conducted.
  •   Controlling of the change on a daily basis.
  •   General filing of memo’s and correspondence.
  •   Data capturing of stock received and sent from branch.

Staff Management

  • Managing the Cash Desk area.

Housekeeping

  •   Maintain cleanliness in office.
  •   Maintain cleanliness at the Cash Desk area.

Shop Floor Function

  •   Customer Service

ADMIN ASSISTANT HEAD OFFICE

Jumbo the Clothing Co., has an exciting opportunity for an Admin Assistant in our Head Office in East London (HO). We have one (1) vacancy to fill.

The purpose of this position is to be responsible for carrying out basic financial administrative tasks. Performs clerical information processing tasks/ activities associated with the update and maintenance of Finance Department records and registers and attends to general office applications with respect to the provision of routine procedural information.

Key Accountabilities.

Petty Cash – all stores

  • Checking casual wage vouchers. Total them to see if it balances, then check them against Petty Cash in and Petty Cash out.
  • Check till slips for other items to see if they have been correctly described and have the necessary supporting documentation attached.
  • All vouchers must have till slips.
  • Check the petty cash slips against the General Ledger Account print out.
  • At the end of the month they are checked against the Expense Audit trail print out. When completed, they are filed per month, per store.
  • Send memo/email to stores on a regular basis to remind them/update them on petty cash movements etc.

 Distributions – all Suppliers from Warehouse

  • Check the Goods Received Note against the invoice.
  • Unit price must be the same on the invoice number, goods return slip and check lists all tie up.
  • A distribution must have an invoice, waybill, goods received note, return slip if needed, order check list and an original order. The price and quantity must balance.
  • It is then checked against the AP Supplier Invoices summary print out at the end of the month, and then all the paperwork is given to the Creditors clerk.

General

  • To carry out any other duties as required by the Financial Manager.
  • Assist with the general filing in the finance office
  • Assisting with staff account processing

Minimum requirements for the job:
